About the Role:
We have an opportunity for an Administrative Assistant/Receptionist to join our team based in East Brunswick, NJ. As the Administrative Assistant/Receptionist, you will perform a variety of administrative and support duties for professional staff. Work performed will include a broad range of responsibilities involving confidential or technical information such as compiling reports, furnishing information to internal and external parties, composing non-routine correspondence, preparing reports and presentation material and maintaining an electronic and paper file system. The ideal candidate will have considerable initiative, judgment and discretion in completing assignments.
Position entails communicating with all levels of employees including administrative staff, accounting staff, and senior management staff. Will also routinely communicate with outside vendors.
Responsibilities
What you will do:
- Coordinate and prepare travel arrangements for employees as needed
- Submit timesheets & expense reports for HR and other team members
- Audit reports for accounting projects
- Generate and log reports for mail payments
- Create and set up templates to support the accounting team with banking information for vendor payments
- Meeting Arrangement:
- Manage the conference room calendars
- Distribute internal and external meeting invitations
- Clear external guests with building security
- Receive and direct visitors to appropriate conference rooms
- Make specific arrangements for meetings (such as ordering breakfast and/or lunch, setting up video conferences when needed, etc.)
- Remain organized to track and meet deadlines
- Coordinate building services as needed
- Perform ad hock administrative duties as assigned
- Submit invoices for payment as requested
- Operate a variety of office equipment including copier/printer, postage machine and binding machine
- Order equipment when directed
- Place service calls for machinery in office; perform basic maintenance of office equipment
- Receive inventory, maintain, and order office supplies and first aid items
- Assist with stocking and maintaining pantry cleanliness as coverage for Housekeeper when applicable
- Assist with meeting set up and break down as coverage for Housekeeper when applicable
- Provide backup support to administrative team members
- Organize office celebrations alongside Office Manager as needed
- Greet and welcome guests
- Manage the main LS Power phone line and screens calls
- Sign for and distribute mail, print stamps and shipping labels, coordinate pick/drop off for mailings and shipments via USPS, UPS or FedEx
- Send weekly interoffice packages to our various office locations
- Process I.D. badges for new hires
- Assist new-hires and provide office tours on start
- Reserve conference space on amenities suite of building through coordination with building management
- Maintain order at all printer stations daily including discarding cover sheets, distributing print jobs and incoming faxes

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role; however, some lifting is required. The employee must frequently lift or move up to 10 pounds and occasionally lift or move up to 30 pounds.
