OVERVIEW
The Project Accountant is responsible for overseeing the financial aspects of projects, ensuring accurate billing, cost tracking, and compliance with accounting standards. This role plays a critical part in maintaining financial integrity by collaborating with project managers, finance teams, and external stakeholders to facilitate accurate reporting and timely financial processes. The ideal candidate will have the ability to manage complex financial data, analyze project costs, and ensure compliance with company policies and contractual requirements. They must be highly organized, detail-oriented, and proficient in financial software systems to optimize billing, reporting, and reconciliation processes.
RESPONSIBILITIES
Billing & Invoicing:
- Prepare and process monthly progress billings, including lien releases, using MS Excel, MS Dynamics AX, Textura, and other third-party systems.
- Collaborate with project managers to ensure accurate and timely invoice preparation and review.
- Issue invoices for direct-to-customer sales orders, ensuring accuracy and tax compliance.
- Maintain and update the billing log, tracking all billable items, payments, adjustments, and project milestones.
Financial Analysis & Reporting:
- Prepare and analyze over/under billing summaries, providing insights for management review.
- Conduct job cost analysis and reallocate job costs as needed to ensure accurate project budgeting.
- Reconcile project accounts, ensuring all financial transactions are accurately recorded.
- Work with external auditors and internal teams to provide necessary financial data and ensure compliance.
- Audit project-related accounting transactions, identifying and documenting discrepancies along with corrective actions.
Project Financial Management:
- Manage job startups and closeouts, ensuring proper documentation, financial accuracy, and compliance with project requirements.
- Review and approve change order budgets for accuracy.
- Oversee accounts receivable processes, ensuring adherence to AR billing metrics and timely collections.
- Accurately record and categorize ACH, credit card, and cash deposits, ensuring proper allocation to projects.
Process Improvement & Compliance:
- Identify and implement process improvements in billing, reporting, and financial accuracy.
- Ensure compliance with accounting standards, company policies, contract requirements, and internal controls.
- Assist with ACH payment setups, customer verification, and new customer onboarding.
- Collaborate with project managers, operations, and finance teams to resolve financial discrepancies.
Other Duties:
- Maintain organized billing files for financial reporting and audits.
- Perform other duties as assigned.
DESIRED SKILLS & EXPERIENCE:
- Proficiency in MS Excel (intermediate level), including data analysis and reporting required
- Strong data entry skills with a high level of accuracy and attention to detail required
- Experience with project-based accounting required
- Solid understanding of construction and manufacturing billing procedures and compliance requirements required
- Minimum of 2 years of accounting experience, preferably in a project-based environment, required
- Ability to thrive in a fast-paced environment while managing multiple priorities effectively, required
- Strong multi-tasking skills with the ability to meet deadlines and maintain accuracy required
- Excellent customer service and communication skills, both written and verbal, are required
- Proficiency in working within a networked computer environment, including accounting and ERP systems required
- Experience with Dynamics AX Accounting or other ERP systems for financial management
- Prior experience working in a team environment with at least five accounting staff
- Background in a large construction or manufacturing company, with an understanding of industry-specific accounting practices
PHYSICAL REQUIREMENTS:
- Ability to convey detailed and accurate instructions and information verbally
- Ability to hear with or without correction for receiving and interpreting detailed information
- Ability to sit at a desk workstation for varying periods
- Capability to push, pull, lift, reach, and carry at least 10 pounds, occasionally lifting/moving up to 35 lbs. with or without assistance
- Occasional walking and standing are required
- Visual acuity with or without correction for reading documentation, analyzing data, and using electronic devices
- Use of fingers and hands for operating a computer or other electronic devices
- Occasional stooping, kneeling, and crouching may be required.

REPORTING STRUCTURE:
This position reports to the Controller.

COMPENSATION:
A reasonable estimate of the current hourly range for this position is $30.53 - $46.25 per hour. The actual amount offered within this range will depend on a variety of factors including geography, skills and abilities, education, experience, and other relevant job-related factors. It is not typical for an individual to be hired at or near the top of the range for the role, and compensation decisions are dependent on the facts and circumstances of each case.
