POSITION OVERVIEW
The Accounting & Tax Administrator supports our Accounting and Tax & Compliance teams in various administrative activities. This role primarily focuses on reviewing vendor registration forms for accuracy, identifying and communicating issues found in the forms to the requestors, contacting vendor representatives to verify bank information via phone calls, and preparing approval request forms to ensure timely and efficient processing of vendor registrations.
This position is located in Irvine, California, and the ideal candidate will be within commutable distance to the Irvine office location.

RESPONSIBILITIES- Review vendor registrations forms for completeness and accuracy.
- Identify and communicate errors or missing information on the vendor registration forms to requestors for correction.
- Call vendor representatives directly using provided contact phone numbers to verify the bank information.
- Prepare and route approval request forms for vendor registrations.
- Upload approvals and supporting documentation into the ERP system.
- Review expense reports for its accuracy and compliance with internal policy
- Coordinate with internal teams to ensure timely and accurate vendor setup and payment processing.
QUALIFICATIONS- High school diploma or equivalent required.
- Previous experience in administrative support.
- Excellent verbal communication skills with professional phone etiquette.
- High attention to detail and accuracy when handling financial and vendor data.
- Ability to follow established processes meticulously and escalate issues when necessary.
- Strong organizational skills and ability to manage multiple tasks and meet deadlines.
- Self-motivated, reliable, and able to work independently in a fast-paced environment.
- Demonstrate professional skepticism and sound judgment when working with sensitive information.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with ERP system is a plus.
