Position Description:
As a key member of the Engineering team, the Engineering Administrative Assistant (EAA) will provide essential support to both the engineering and project management teams through various organizational and data-driven tasks. The ideal candidate person will be well versed in project plan set reading, identifying key elements and facilitating meetings with internal teams, clients and vendors as needed. Strong written and verbal communication skills, combined with organizational skills are essential to succeed in this role. All tasks associated with this position will be using computer and cloud-based programs, requiring high attention to detail. The EAA must be adaptable, sharp, and able to efficiently handle a dynamic work environment.
Responsibilities:
- File & organize PDF & CAD files on shared drives so that current designs are easily accessible to engineers
- Notify the individuals on the project team - typically lead engineer & project manager that new files exist
- Ensure the intake spreadsheet is consistently updated as documents are filed, maintaining accurate tracking for auditing purposes
- Combine or split PDF files into the different project areas
- Manage intake of documents for new projects and input file information in relevant engineering systems
- Monitor and track work deliverables in Salesforce
- Request document updates when moving into another stage of design (50% > 100% > permit)
- Proofread permit sets and ensure all files listed as attached are included
- Communicate with clients on behalf of the engineers (relating to documents only)
- Navigate cloud programs for updated files, or gather files requested by engineers in Procore, PlanGrid, Dropbox, BIM360, SharePoint, etc.
- Fill out & sign release forms for CAD document sharing if required by client
- Research and upload updated permit requirement checklists from AHJ (authority having jurisdiction - city, county, etc.) websites to Salesforce
- Track projects & tasks throughout the day in a timesheet
- Maintain Google Doc notes for meetings & notes to self
- Answer the calls to the engineering team from clients or project managers
- Work with the interconnection team to fill out and file applications to utility companies
- Process documentation and upkeep
- Manage project reporting requirement setup such as DIR and SURGE (AB2143) preferred
- Able to take on other needed tasks as they arise
Qualifications:
- 2+ years of experience in solar PV and/ or solar thermal desired
- 3+ years of administrative experience preferred
- Detail-oriented and well organized
- Excellent verbal and written communication skills
- Experience with Microsoft Excel, Word, Google Sheets, Google Docs, PowerPoint, OneDrive, SharePoint, Bluebeam, Adobe, and Sage (Sage is preferred, other packages required).
- Self-motivated and able to work in a team environment
- General construction experience desirable
- Able to type a minimum of 50 wpm
