Description
SUMMARY
Responsible for providing administrative and clerical support at the site. Responsibilities include performing receptionist, filing and general clerical duties. Also responsible for purchasing office supplies and shipping activities. Provide administrative support to various departmental managers, supervisors, operators, technicians, and visitors. Data input, supply and track various formats of information, maintains files, schedules appointments, produces correspondence and otherwise relieves managers of minor administrative and business details.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned as needed)
- Adhere to, support, and comply with all company safety and environmental policies and practices.
- Adhere to site working hours and must be onsite to perform all duties.
- Responsible for administrative and clerical duties at the site.
- Provide assistance in the production of various reports, correspondence, cost tracking, and presentation materials, as requested.
- Provide clerical assistance for various departments including filing, copying, assembly and communication with all levels of personnel.
- Perform data entry into multiple online databases.
- Maintain the site filing system and binder documentation for site personnel.
- Manage incoming and outgoing correspondence. Opens, dates, sorts, and distributes all incoming correspondence including telephone calls. Prepare outgoing correspondence and shipping (i.e., U.S. Postal, Federal Express, UPS).
- Functions as the receptionist during business hours.
- Ensure guests are greeted when arriving and maintain security procedures by having them properly sign in.
- Notify company personnel of visitor arrival.
- Maintain the office supply inventory, recommending ordering needs and organizing the convenient accessible storage of all office supplies.
- Maintain conference room calendar and prepare room for site visits, including stocking refreshments.
- Maintain site vendor and invoice files.
- Perform purchasing duties, such as processing requisitions, placing orders, expediting, receiving goods, under the direction of the Office Manager.
- Provide clerical assistance for various departments including filing, copying, assembly and communication with all levels of personnel.
- Other duties as assigned.

MINIMUM REQUIREMENTS
EDUCATION and/or EXPERIENCE, KNOWLEDGE –
- Requires a high school diploma or equivalent.
- Minimum 1 - 2 years clerical experience desired and/or combination of education and experience.
- Beginning to intermediate computer skills in word processing, spreadsheet, and database.
- Knowledge of various types of office machinery such as fax machines, copiers, and printers.
LANGUAGE SKILLS –
- Ability to read and interpret work from simple and/or complex instructions.
- Ability to effectively communicate with others.
- Ability to write routine correspondence.
MATHEMATICAL SKILLS –
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
COMMUNICATION SKILLS -
- Ability to read and interpret work from simple and/or complex instructions.
- Ability to effectively communicate with others.
- Ability to write routine correspondence.
REASONING ABILITY & DECISION-MAKING SKILLS-
- Ability to provide, understand and complete written and verbal instructions and communication.
- Ability to problem solve and work independently and/or in a group setting.
- Must be organized, with an ability to stay focused on assigned tasks and possess an attention to detail.
CERTIFICATES, LICENSES, REGISTRATIONS –
- Possess a valid driver’s license for the state in which you are applying.

The posted compensation is the range that we in good faith anticipate relying on when setting wages for this position. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in California. This salary range may also be modified in the future, depending upon skills, experience, education, and geographical location.
