Description
We are seeking a highly organized and proactive Operations Office Administrator to join our team at Trinity Solar. This role is essential to ensuring the smooth coordination of daily operations, supporting project logistics, and maintaining accurate administrative records. The ideal candidate will bring strong communication, multitasking, and organizational skills to help drive operational efficiency and exceptional customer service in a fast-paced, mission-driven environment.
Key Responsibilities:
- Coordinate and support day-to-day administrative functions for residential solar installation operations.
- Serve as a liaison between field crews, project managers, customers, and vendors to ensure smooth scheduling and communication.
- Maintain and update project management systems with accurate job details, timelines, permits, and inspection statuses.
- Assist in managing inventory records and ordering supplies, tools, and equipment for field teams.
- Prepare and track documentation required for permits, inspections, utility interconnections, and compliance.
- Handle inbound customer communications related to scheduling, service updates, and documentation.
- Generate reports and summaries related to installation progress, project status, and operational metrics.
- Organize office resources, support internal team needs, and help coordinate onboarding for new hires.
- Ensure all company policies and procedures are followed in the execution of operational and administrative tasks.
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 2+ years of administrative or operations experience, ideally in construction, solar, or a related field.
- Proficient in Microsoft Office Suite and Google Workspace; experience with CRM or project management platforms (e.g., Salesforce, JobNimbus, Smartsheet) is a plus.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- Detail-oriented, dependable, and capable of working both independently and as part of a team.
- Knowledge of solar industry operations, permitting, or utility processes is a plus, but not required.
